Objective

AK Wien faced numerous challenges around file management (digital assets), content planning and publishing as well as event management.
To make files, work steps and the communication between internal employees and external parties more efficient and to standardize and structure the processes, four software systems were to be procured.
The four systems were to enable faster and more efficient process handling in the different teams.

Due to the coronavirus crisis and the associated lockdowns, the requirements catalogs and scope documents were created together with the chamber's experts in remote workshops.
All four systems were publicly tendered in two-stage negotiated procedures with a total volume of 5 million euros over 4 years.
The digital asset management system, the editorial system and the newsletter system were tendered together.
The event management system was tendered afterwards.
The first three systems were introduced by the end of September 2020.
The event management system was introduced by February 2021.
