RPA@Enervie ENERVIE
Objective
In the course of its beginning company-wide digitalization, ENERVIE planned to increasingly “digitally automate” processes. This was to reduce project lead times (e.g. the “hot meter” process), drastically ease data collection across several IT systems and enable faster business decisions (such as following up customer leads). Robotic process automation (RPA) was identified as the key technology in this area of the digitalization efforts. System vendors promise the automation of cross-system processes through the simple, intelligent linking of different data sources and the batch-like mapping of standard work processes. By piloting suitable test processes from various departments, ENERVIE wanted to explore the technology's potential for the company.
Approach
ReqPOOL's initial task was to identify possible process candidates for automation together with ENERVIE and to prepare them for implementation with UiPath by an external service provider. ReqPOOL was also responsible for managing the pilot. It quickly became apparent that a technical setup of the RPA system in the client's infrastructure was necessary, so ReqPOOL took the lead in coordinating this as well. UiPath was set as the system from the start; ReqPOOL supported the decision on a suitable licence and a UiPath platform for the pilot operation. In parallel to the technical setup, management and ReqPOOL decided on the basis of various process KPIs which processes to automate first as “lighthouses”. ReqPOOL prepared these together with ENERVIE in workshops. As ReqPOOL also has the know-how for implementation and integration, it was decided that ReqPOOL should carry out the implementation as well, saving the onboarding effort of a third party.
Result
By building the platform, functionally recording the processes and implementing them with RPA from a single source, ReqPOOL was able to automate three processes from purchasing and back office in a very short time and hand them over to the business-unit employees to support their daily work. ReqPOOL also identified optimization potential and made the processes more agile and leaner, eliminating redundant steps. After the pilot's success, ENERVIE decided to continue working on RPA with ReqPOOL. The transfer of the pilot RPA platform into a company-wide platform is upcoming, further processes are earmarked for automation with first explorations underway, and the operation of the three existing processes is ensured, including their further development and adaptation as part of the support operation.
